Who We Are

MAX Fitness (“MAX Fitness”, “we”, “us”) operates a strength and conditioning facility at 109 Falcon St, London, Ontario, N5W 4Z2, Canada. This Privacy Policy explains how we collect, use, disclose and safeguard personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), applicable Ontario legislation, and Canada’s Anti-Spam Legislation (CASL).

Personal Information We Collect

We collect only the information reasonably necessary to provide our services, including:

  • Contact details: first and last name, email address and phone number.
  • Assessment responses: age bracket, fitness objectives, self-reported physical barriers or injuries, training frequency, coaching preference, nutrition habits and timeline.
  • Member account data: login credentials (passwords are stored as one-way encrypted hashes), goal tracking entries such as body weight, personal records and completed sessions, and notification preferences.
  • Inquiry content you submit through our contact form.
  • Technical data such as browser type and pages visited, used to keep the website secure and functioning.

Health-Related Information

Information about injuries or physical limitations is sensitive. We collect it only with your consent, use it solely to design safe programming, restrict access to our coaching staff, and never sell or use it for advertising.

How We Use Your Information

  • To respond to inquiries and schedule consultations.
  • To generate your assessment scorecard and match you with a coach.
  • To deliver coaching, track progress and administer memberships.
  • To send service messages and, where you have consented, promotional communications.
  • To meet legal, accounting and tax obligations (including HST record-keeping).

Consent

By submitting a form you consent to the collection and use of your information for the purposes described. You may withdraw consent at any time, subject to legal or contractual restrictions, by contacting us. Withdrawal may limit our ability to provide certain services.

Commercial Electronic Messages (CASL)

We send commercial electronic messages only where we have your express consent (for example, the consent checkbox on our assessment form) or implied consent permitted by CASL. Every message identifies MAX Fitness, includes our mailing address and provides a functioning unsubscribe mechanism. Unsubscribe requests are processed within 10 business days.

Disclosure & Service Providers

We do not sell, rent or trade your personal information. We may share information with trusted service providers (such as secure website hosting and database providers) who process it on our behalf under contractual confidentiality obligations. Some providers may store data outside Canada, in which case it may be subject to the laws of that jurisdiction. We may also disclose information where required by law.

Retention & Safeguards

We retain personal information only as long as needed for the purposes identified or as required by law. We protect information using administrative, technical and physical safeguards, including encrypted connections, hashed passwords and role-restricted administrative access.
